Office and Financial Administrator

We’re looking for a reliable and skilled person, with experience in bookkeeping and administration, to undertake a variety of day-to-day administrative tasks, to ensure that the rest of the staff has adequate support to work efficiently. The tasks of the Office Administrator will be diverse ranging from bookkeeping to maintaining office supplies, handling official correspondence as well as assisting with preparation and control of budget. The ideal candidate will be highly competent in prioritizing work and working with little supervision.

WHAT WILL YOU DO?

Financial accounting and reporting

  • Maintain an orderly accounting filing system
  • Provide information to the external accountant who creates the company’s financial statements
  • Issue invoices to customers and pay supplier invoices in a timely manner
  • Monitor debt levels and compliance with debt covenants
  • Ensure that receivables are collected promptly and accounts payable are paid in a timely manner
  • Record cash receipts and make bank deposits
  • Conduct periodic reconciliations of company accounts
  • Calculate and issue financial analysis of the financial statements
  • Maintain the chart of accounts and banking relationships
  • Maintain a documented system of accounting policies and procedures

Budget preparation and control

  • Coordinate the preparation of the corporate annual report
  • Assist C.E.O with preparation and maintenance of the annual budget
  • Calculate variances from the budget and report significant issues to management
  • Forecast cash flow positions

Payroll preparation and administration

  • Keep records of advances and dues to employees
  • Process payroll in a timely manner

Office administration

  • Purchase supplies and equipment as authorized by management
  • Monitor office supply levels and reorder as necessary
  • Provide clerical and administrative support to management as requested
  • Maintain records of office equipment and their distribution
  • Ensure functioning of office equipment and organize repair where necessary
  • Maintain relationships with vendors
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • Assist C.E.O with translation of documents and correspondence

WHAT DO WE EXPECT?

  • The candidate should have a Master’s degree in accounting or business administration
  • Proven experience in bookkeeping and office administration or in a similar role (preferable 3+ years of experience)
  • Fluent English – written and communicative (compulsory!)
  • Solid understanding of basic bookkeeping principles and office management systems and procedures
  • Data entry skills along with a knack for numbers
  • Customer service orientation and negotiation skills
  • High degree of accuracy and attention to detail
  • Hands-on experience with spreadsheets and proprietary software
  • Organized with the ability to prioritize and multi-task
  • Experience with creating financial statements
  • Ability to adapt to a fast paced environment with changing priorities
